(“Host” is the person or organization that is booking and organizing the event or tournament at KGCC)

What KGCC Provides

• Host services outlined in the agreed Event Contract
• Provide food and beverages in quantities that are determined as reasonable for the number of guaranteed guests
• Tables & Chairs (Limited, not on every hole)
• Staffed Beverage Cart
• Optional online Scoring (Golf Genius)
• Linens & tablecloths for an additional fee
• We provide boxed-to-go meals if requested

What We Don’t Provide

• On Course Bartenders
• Golf Tournament Only (Food must be ordered as an entire package)
• Generators for Power Supply
• Power Cords
• Decorations
• DJ’s & Entertainment
• Coolers & Refridgeration
• Third-party or Temporary Signage

Deposits & Invoicing

• The Host is responsible for paying the Estimated Total Price listed in the Details Package, plus any additional event charges and applicable taxes. If the actual guest count exceeds the guaranteed number provided 10 days before the event, the total price will increase accordingly. The total price will not decrease if fewer guests attend. Payment is due as outlined, unless otherwise agreed to in writing by the General Manager.
• A deposit of $1,000 is required to secure the date and room(s) for the Host.
• The Host agrees to pay 75% of the estimated invoice thirty (30) days prior to the event date; if the event is booked less than thirty (30) days prior to the event date, 75% of the estimated invoice is due at the time of booking.
• Balances owing after the event are due upon receipt of invoice.
• A credit card number will be held on file. Your signature on this contract will serve as your authorization for amounts charged by KGCC.

Confirmed Guests

• The Host must confirm the event type (Tee Time/Shotgun) 30 days before the event and the number of guests (“Guaranteed Guests”) 14 days prior. Guaranteed Guests set the minimum for pricing and catering and cannot be less than 15% below the original number. If guest numbers change significantly, KGCC may switch a shotgun to a tee-time start (min. 72 for 18-hole, 36 for 9-hole). KGCC accommodates up to 120 guests; larger events require extra carts and a temporary liquor license, coordinated and approved with KGCC.

Cancellations, Violations & Weather

• Written notice is required at least 90 days before the event. If the date is rebooked, your full deposit will be refunded. Cancellations less than 90 days retain the deposit; cancellations 30 days or less may incur 25% of the Estimated Total Price or $1,000 (whichever is higher), in addition to the deposit. KGCC may allow rescheduling within the current golf season at its discretion without penalty.
• KGCC may monitor events and stop service for any policy or legal violations, with the Host remaining responsible for all outstanding charges
• 18% Interest will be paid by the Host on all overdue amounts per annum
• If the Host fails to make required payments by the stated deadlines, KGCC may terminate the agreement and the deposit will be forfeited.
• The Tournament will go ahead as planned unless KGCC’s General Manager and Superintendent decide the course is unplayable. KGCC is not responsible for cancellations due to bad weather. The Host must share KGCC’s rules with all participants before the tournament starts. Shotgun tournaments require at least 100 people; modified shotguns require at least 72 people.
• KGCC will provide and set up on-course competition markers (KP, Long Drive, etc.). Hole sponsorship signs must be delivered to the Pro Shop by 6:00 PM the day before the event and be freestanding or on standard H-frame wire signs. Only KGCC staff may place signs; extra charges may apply for signs not placed by staff. KGCC may refuse signs that don’t meet standards and is not responsible for signs or banners left more than 48 hours after the event—they will be discarded. Any additional on-course setup must be approved and may incur extra charges.

Food & Alcohol

• All food must be provided by KGCC in and around the clubhouse unless approved by Management. Outside food on the golf course requires prior approval. All alcoholic beverages must be purchased from KGCC per BC Liquor laws. Violations may result in confiscation of alcohol and a $250 fee, plus any additional fines. The Host is responsible for monitoring guest alcohol consumption and ensuring safe transportation. KGCC may, at its discretion, stop serving alcohol to any guest.

Prizing

• All prizes and awards are the responsibility of the Host and are not provided

Gratuities

• 18% gratuity to all food and hosted beverages served at the Event. Applicable tax will be added to all charges

Rentals

• Power carts, clubs, and push carts are available for rent.
• For events with over 120 guests requiring power carts, the Host is responsible for arranging delivery and pick-up of additional carts.

Outdoor Signage & Power

• The Host must get KGCC’s written approval before allowing any outside contractors, such as DJs or decorators, to use the facilities
• There is no power to plug into on the course. Generators are permitted to run power, and the sole responsibility of the Host.

Damages

• The Host is responsible for any damage caused by themselves, their guests, or staff. Nothing can be attached to KGCC’s facilities without permission. The Host also agrees to cover KGCC for any claims, costs, or damages (including legal or accounting fees) that happen because of the event, any property damage, or any injuries connected to the event.
